Data deletion — LimnoLog

LimnoLog (app available at app.limnolog.com, publisher: Bartłomiej Walczak / WalFamSystems) lets you delete your own data yourself, without contacting the administrator. Here's how, step by step.
1. Deleting individual data (measurements, sessions, projects)
Once logged in, you can delete any part of your research data without deleting your whole account:
- A measurement — in the data entry view (the "Entry" tab), from the action menu next to the value.
- A measurement session — in the project view, from the action menu next to the session.
- An entire project — in the project's Admin tab, using the delete-project option (available to the project owner).
Deletion is permanent and happens immediately after you confirm it in the app.
2. Deleting your entire account
To delete your account and profile, log in to the app and go to Settings → "Delete my account" (app.limnolog.com). After you confirm:
- Your profile is deleted (email address, name, password hash, preferences).
- Measurements in projects you had access to are anonymized (the author is replaced with "Deleted user") — deleting your own profile does not delete research data belonging to other project members.
- If you also want to delete specific projects/sessions/measurements, do that before deleting your account (see section 1) — once the account is deleted you can no longer log in to do so.
3. Exporting your data before deletion (optional)
Under Settings → "Download my data (JSON)" you can first download a copy of your data (profile plus the list of projects you have access to) before deciding to delete it.
4. If you can't log in to the app
If you want to delete your account entirely but for some reason can't access the app (e.g. lost access to your email, login issue), email administrator@limnolog.com. This is a last-resort contact channel, used only when self-service deletion in the app (section 2) isn't possible. We reply within 30 days.
5. What data is deleted, what is retained, and for how long
- Account data (email, name, password hash, language preferences) — permanently deleted immediately when the account is deleted.
- Measurements and sessions you authored — retained but anonymized (no link to your identity), so deleting your account doesn't break the research-data integrity for other project members. If you want specific measurements physically deleted (not just anonymized), delete them before deleting your account (section 1), or email administrator@limnolog.com.
- Activity log — entries without personal data are kept indefinitely (research-data audit integrity); entries containing personal data are anonymized together with account deletion.
- Projects inactive for 12 months (Free plan) — automatically deleted, with a warning email sent 30 and 7 days before deletion and a data export attached.
- Accounts inactive for 12 months with no active project (Free plan) — automatically anonymized, same as in section 2, with a warning email 30 and 7 days before.
- Email notifications — automatically deleted 90 days after being sent.
